The purpose of the role is to work with Office Management to provide seamless administration service for all projects. The role will involve fulfilling administration tasks for several areas of the business.
Duties and Responsibilities: Customer Focus: " Liaise daily with colleagues, customers and subcontractors; developing transparent and trusted partnerships " Prioritising workload effectively to meet expectations " Assist colleagues to perform basic administrative functions quickly and efficiently " Be accountable for ensuring sufficient feedback is provided to the project team for any problems highlighted
Quality Focus: " Maintain an eye for detail, ensuring work is completed to the highest standards " Remain focused on continually improving the quality of work delivered and make recommendations to improve the effectiveness of systems and processes " Take ownership for data integrity, ensuring a high degree of accuracy when completing all tasks " Adherence to the data protection regulations
General Duties: " Provide administrative support to the ETF office departments (Commercial, Sales & Estimating, Design, Production) primarily, but not exclusively, in relation to project lifetime (from receipt of enquiry through to invoicing) " Responsible for document management upon receipt and throughout project duration to include; document control, printing and maintaining drawing files for customer, operations and subcontractors " Support where necessary during meetings, presenting information, taking minutes and distributing as required " Responsible for maintaining various registers and systems; including but not limited to; ISO 9001, CE Marking, filing systems, archive management, organograms etc " Booking in customer enquiries " Assistance with quotation preparation " Administration of order documentation upon receipt and throughout project duration " Issue of production information to factory " Communication with customers regarding delivery dates and general project information " Communication with suppliers " Assist with organisation of delivery schedules, prepare delivery notes and record delivery information " Ensure daily production record is updated with project budgets as required " Assist with project cost reviews " Contributing to the on-going development of business processes and procedures " Manages own time effectively, avoiding distractions and focusing on priorities " All other related administrative duties
The company are offering a competitive salary of £18k plus parking and pension
