In order for Bromak to provide you, our candidates, with a Recruitment Service, we need to store some of your personal details on a secure, computerised database and process certain information about you. We believe that the personal details we store are necessary for us to help you find suitable employment. This includes your name, date of birth, contact details, education details, employment history, emergency contacts and your National Insurance number. We will also ask for details of any unspent criminal convictions at the point of registration in order to satisfy our obligation to our clients. We will process your data for the purposes of marketing relevant job opportunities to you. You may object to this at any time. We will collect your personal data from you in various ways. These may include:
- Job applications
- Directly from you, including if you call one of our offices to register your details with us
- The Bromak website
- We may obtain information from you if you follow/like us on Social Media
- We may gain your personal details from one of our clients
- If you have uploaded your CV onto a Job Site that we work with
- We may gain information about you from Linkedin
- If you were referred to us by an Unemployment or Back to Work Service, we will obtain your personal information from them
- If you were referred to us by a client, an RPO or an MSP supplier, we may obtain your personal information from them
Bromak will need to store & process some of personal data in order to carry out our Recruitment Service to you. Our Recruitment Service may include:
- Matching your skills and experience to suitable job vacancies we may have
- Storing & updating your details on our computerised database in order to alert you of job opportunities that are relevant to you and your background.
- Bromak sending a general, nonspecific overview of your work history to our clients
- Bromak sending your CV forward to suitable job vacancies
- Applying using your CV to our job vacancies, via the Bromak website or other Job Sites.
- Carrying out any contractual obligations in relation to your recruitment
- Allowing our payroll function
- Carrying out customer satisfaction surveys
- Requesting information (such as references, right to work in the UK, qualifications and any unspent criminal convictions)
- Providing references to third parties during the course of or following the completion of an assignment (this will only be done with your specific consent, which will be obtained from the third party)
You do have the right to object to the processing of your personal data in certain circumstances, find out more here. The Personal Data we collect from you & store on our computerised database is necessary for Bromak to continue to provide our recruitment services in an effective manner. Depending on the nature of personal data in question, or the reasons why we may be processing it – if you refuse to provide us with such data, we may not be able to meet our recruitment services and this could result in Bromak not being able to continue with our relationship.
Transferring your data to third parties:
Your personal data is available within the Bromak Group, and is accessible by all of our associated offices which are listed here. We may share your CV with clients we feel are relevant to your experience. This will only be done following a conversation with you, and once you have provided your written consent to us working on your behalf. We may also need to share your CV or work history with our clients as part of the application process. Again, we will only do this once you have provided your written consent to us working on your behalf. Other than that, we will not disclose your Personal Data with Third Parties unless we are required to by law or we have a legitimate business interest to do so, or need to do so in order to provide our Recruitment Services. Examples of this may include sharing some of your personal data, including name, date of birth, National Insurance number, compliance details, bank details, contact numbers etc. with payroll companies. On some occasions, Bromak will need to share your details with other third parties, which may include Recruitment Process Outsourcing companies and Neutral Vendors. This is done only when necessary to do so in order for you to either undertake a temporary assignment or for Bromak to submit your application to one of our clients.
If you are a client of Bromak’s, we will need to collect and use information about you or others at your organisation, in order to effectively provide you with our Recruitment Service. Our Recruitment Service to you may include taking details from you of current vacancies and finding candidates who we believe would be a good fit for any current vacancies, or your company in general. Bromak collect client data in various ways, including:
- Data we collect directly from you
- Data we collect from other sources (including Linkedin, your company’s website, networking events, the Bromak website, business cards, candidates who provide your information as a referee etc.)
In order for us to continue to carry out an effective recruitment service to you, we may need to use and process your personal data. This will include any recruitment service to you, or any other legitimate business need. In order to do this, our processing activities may include:
- Storing & updating your details on our computerised database, wherever necessary in order to contact you with regards to Bromak’s Recruitment Service.
- Undertaking customer satisfaction surveys
- We will keep records on our computerised database of any exchanges with you including, but not limited to, conversations, face to face meetings and details of registered vacancies.
- Processing your data for the purpose of targeting appropriate marketing campaigns (you may object to this at any time – details can be found here).
We will never transfer your personal details to a third party unless there is a legal obligation or a legitimate business need.
Bromak need some information from our suppliers to ensure we can carry on an effective business relationship. For example, we will need contact details of relevant individuals at your organisation so that we can communicate with you. In order for Bromak to maintain our Recruitment Services to Clients & Candidates, we need to uptake references and take the details of Emergency Contacts for both employees and candidates. In order to do this, candidates or prospective employees will provide your contact details to us. This is so we are able to contact you with regards to a reference, or because you’ve been listed as an emergency contact for one of our candidates or a Bromak employee.
How long we will store your data
Bromak will delete your personal data from our computerised database if we have not had any significant contact with you (or, where appropriate, the company you are working for or with) for three years (or a longer period, if the law requires us to keep your data). Towards the end of this three year period, we will contact you to confirm if you wish for Bromak to retain your details. If we receive no response, we will delete your data when the three year period is complete.
Keeping your data safe
Bromak are committed to keeping your personal data safe. We will take every practical and appropriate step to protect your personal data from misuse, loss or unauthorised access. We have both physical and network security measures in place and a process of how to deal with data breaches. In the unlikely event of a data breach, we will notify you inline with ICO requirements.

Legal Bases for processing your data
Bromak believes that processing your personal data means that we can continue to provide you with our Recruitment Service. Candidates: Bromak believes that it’s realistic to assume that if you apply to one of our job vacancies, call one of our offices to register your details, are searching for a new job, or have posted your CV/Personal Data onto a Job or Networking Site then you would be happy for Bromak to collect, store and use your information for the purposes of providing you with our Recruitment Service. We will use your information to assess your suitability to our current vacancies. As part of our Recruitment Service, we will also send your CV or an overview of your work history to those of our clients we feel would be relevant to your experience. This will only be done with your consent. We will also need to confirm your references, right to work in the UK, qualifications and details of any unspent criminal convictions. We need to do this as part of our service to our clients and also you, our candidates. We also believe it to be reasonable to assume you are happy for us to alert you of relevant job opportunities, however you can object to us processing your personal data for this reason at any time. To ensure we can continue to provide an effective recruitment service, we also need to use your data for purposes of payroll & invoicing. We believe all of the above are necessary as part of our legitimate business interest
Clients: In order for us to provide you with an effective recruitment service, we believe it necessary to store your personal details and the personal details of individuals within your business on our computerised database. To conduct our business operations, we believe it’s necessary to keep a record on our computerised database of our conversations, meetings, registered jobs and placements. This is in order to ensure we can provide you with the best possible Recruitment Service, and is in both Bromak’s & the client’s interests. On occasion, we may ask you to participate in a customer satisfaction survey. This is so we can monitor the service we provide to you and continuously improve it. All of the above we believe to be in line with our legitimate business interests.
Suppliers: In order for us to accept the services from our Suppliers, we need collect and store the personal data of individuals within your company. We also need to hold your financial details, in order to be able to pay you for your services. We believe this is within the scope of our legitimate business interests.
Referees/Emergency Contacts: If your personal data has been provided to us by a candidate of a prospective member of staff in order to gain a reference, we will use your personal data to gain that reference. We believe this is within the scope of our legitimate interests, in order to carry out our recruitment services effectively. In the same way, if your personal data has been provided to us by a candidate or a Bromak employee as an Emergency Contact, we will use your details in order to contact you in case of an emergency. We also believe this to be within the scope of our legitimate business interests. We will never share Referees or Emergency Contact’s personal details with other parties and your data will only used for the purposes in which it was provided.
Outside Links Bromak.com may contain links to third-party sites not controlled by Bromak or covered by this privacy statement. These include those belonging to Bromak partners, or independent product review sites.
